Copying data between systems

Anywhere someone moves the same information from email to a spreadsheet, from the spreadsheet to the CRM and from the CRM to an invoice. It's the most common kind of wasted time, and the cheapest to remove.

Extracting data from documents

Pulling specific fields out of invoices, contracts, orders and forms, scans included. The model reads the content and the automation enters it where it needs to go.

Sorting and routing requests

Incoming emails, form submissions and tickets are recognised, labelled and sent to the right person or queue, instead of waiting for someone to sort them by hand.

Repetitive writing

Descriptions, summaries, first drafts of replies and reports generated from your data, for a person to check and approve.

Collecting and cleaning data

Pipelines that regularly pull data from external sources, clean it up and put it where your team actually works: the CRM, a spreadsheet or a task board.

Connecting your tools

Linking systems that don't talk to each other today. If one of them has no API, we look for a workaround. Sometimes there is one, and sometimes the honest answer is that it can't be done.

We started by automating our own company

A system for gathering company data

We built a workflow for ourselves that collects data on businesses in a chosen industry and location, writes a description of each one and adds it to Trello as a ready card, with the description tailored to that specific company. Instead of clicking through and retyping, the team gets an organised list to work from.

Cards don't sit still, and nobody has to babysit them. After we contact a company, the automation moves the card to the right list, adds a note from the call, assigns a person and sets a date for the next step. Data from emails and forms lands on the card by itself, and anything that needs a decision rises to the top of the board.

From the first call to support after launch

  1. Qualification (free)We establish which process should be automated, what volume it involves and whether the systems you use can be integrated at all. If automation won't pay off, we tell you at this stage.
  2. Process auditWe talk to the person who runs the process every day and map it step by step: who does what, in which tool, with which data. We look for bottlenecks and places where errors creep in.
  3. Solution designWe pick the architecture and tools to fit the scale and your security requirements, and design the workflow with error handling and edge cases. We also estimate running costs, including AI model usage.
  4. Quote and proposalOnly now, once we know the real scope. The proposal clearly sets out the scope, the timeline and how we bill: a fixed price or an hourly range.
  5. Prototype (PoC)We build a working slice on a small sample before investing time in the full solution. If the approach doesn't work, we find out cheaply.
  6. Production rolloutFull build, testing on real data, launch and handover of documentation. We show your team how to work with it and what to do if something stops.
  7. Support after launchWe monitor how it runs and are available when something needs fixing. External APIs change, so an automation isn't something you set up once and forget.

Frequently asked questions

How much does process automation cost?

We price every project individually, after a discovery call, because only then do we know the real scope of work. You get the price before any work starts, together with the scope and timeline, so there are no surprises on the invoice.

How long does implementation take?

From a few days for a simple process to a few weeks for complex integrations. We always start with a small working prototype before building out the full scope.

What if our software has no API?

We check this during qualification, before we start anything. Sometimes there's a workaround: file exports, integration at the database level, or automating the user interface. Sometimes the honest answer is that it isn't worth it in that setup, and then we say so.

Does automation come with ongoing costs?

Usually, yes: the automation platform licence and the cost of AI model calls, if they're used. We estimate these during the design stage, so you don't find out after launch that running costs eat the savings.

Is our data safe?

We choose the architecture to fit your requirements. If personal or confidential data is involved, we use providers that sign a data processing agreement and don't train on your data, and sometimes a setup that runs entirely on your own infrastructure. We agree this before we build, not after.

What happens if the automation stops working?

Every project ends with a support period: we monitor how it runs and respond to problems. We design workflows with error handling, so an outage in an external API doesn't mean data is quietly lost.

Do you work with companies outside Poland?

Yes. We're based in Krotoszyn, Poland, and work remotely with clients in other countries. Calls happen over Google Meet, and if a project needs it, we travel on site. For businesses in the EU we invoice without Polish VAT under the reverse-charge mechanism.
