We build AI automation for offices and admin teams. Invoices get into the system on their own, email is sorted before anyone opens it, and reports come together without copying from five spreadsheets. We start with one process and a prototype on your own documents.
Reading fields from PDFs and scans, checking for duplicates, entering them into your accounting software or a spreadsheet and sending them for approval. Structured e-invoices already arrive as data, so all that's left is routing them onward.
Messages in the shared inbox are recognised and labelled before anyone opens them: what they're about, who should handle them, what's urgent. Plus a draft reply to check.
Contracts, orders, requests and expense claims reach the right person, and the automation chases the ones still waiting. Once approved, the document files itself in the archive under the right name.
Sales reports, timesheets, outstanding receivables. The data is pulled automatically from several programs and spreadsheets instead of being copied by hand every Monday.
Booking meetings with clients, confirmations and reminders by SMS or email, keeping track of contract and payment dates. A voice agent can answer the phone.
Details from forms, emails and calls land on the client record without retyping. A new client gets the full set of documents straight away, along with a list of what you need from them.
First drafts of proposals, letters and replies, prepared from your templates and the details of the case. A person checks and sends them.
The same data typed into three programs is the most common kind of lost time in an office, and the cheapest to remove. An integration does it once, without typos.
The industry matters less than you might think. What counts is whether the office has repetitive work you can measure in hours.
Documents coming in from clients, filing deadlines, correspondence with the tax authorities and a flood of calls at the end of every month.
Deadlines, correspondence, documents passing between the client and the team, and first drafts of letters based on the firm's own templates.
Requests from tenants and residents, billing, and reminders about payments, inspections and lease end dates.
Orders arriving by email, expense invoices, reports for management and data that someone copies by hand from PDFs into the system.
"We do this 40 times a month" is a good candidate. "Once a quarter, and differently each time" usually isn't.
Hours per week × fully loaded hourly cost × 52 gives you the yearly cost of the process. 12 hours a week at a fully loaded €40 an hour comes to about €25,000 a year.
You need an API, an export, or at least a file with a consistent layout. If a program won't release its data, we look for a workaround or tell you it can't be done in that setup.
Someone who knows the process and can answer questions while we work. Without that person, a rollout drags on for weeks.
Workflows that carry out repetitive office tasks on their own: reading documents, moving data between programs, sorting email, sending deadline reminders and putting reports together. AI helps wherever the content has to be understood: reading an invoice, working out what an email is about, drafting a first reply.
With one process that happens often and whose cost you can measure. The best candidate is rarely the thing that annoys the team most. More often it's the thing that quietly takes up the most hours each month. We start with an audit of that one process and a prototype.
That's not why you do it. Automation takes away the retyping, sorting and copying, and leaves people with checking, decisions and client contact. The team spends the time it gets back on work that needs a person.
Usually not. Automation connects what you already have: email, spreadsheets, accounting software, CRM, a shared drive. There's one condition: the data has to be accessible through an API, an export or a file with a consistent layout. We check this on the first call.
We quote after the audit, once we know the scope. Before work starts you get a fixed price or an hourly range with a timeline. On top of that come running costs: the automation platform licence and AI model usage. We estimate them in advance so that running costs don't eat the savings.
From a few days for a simple process to a few weeks when several programs and approval steps are involved. We always start with a small working prototype.
If personal or confidential data is involved, we use providers that sign a data processing agreement and don't train on your data, and sometimes a setup that runs entirely on your own infrastructure. We agree this before we build, not after.
Yes. We're based in Krotoszyn, Poland, and work remotely with clients in other countries. Calls happen over Google Meet, and if a project needs it, we travel on site. For businesses in the EU we invoice without Polish VAT under the reverse-charge mechanism.
Tell us what the call should cover and pick a time that suits you — we'll get in touch exactly then. We only quote once we know the real scope of work.
